ADMINISTRATIVE BOARD MINUTES
July 12, 2009
Focusing on hospitality, Susan Utley led the gathering time. Kim Hawkins, chair, called the meeting to order. Minutes of the May meeting were approved as presented.
ADMINISTRATIVE BOARD 101: ANNUAL CONFERENCE: June Batsel reported on the 2009 conference held in June at Brentwood UMC. She presented the results of the local voting on 32 proposed constitutional amendments from General Conference.
PASTOR?S REPORT: Ken Edwards, senior pastor, expressed his thanks for the congregational response for Greg Davis? family and Lennie Minter and his family. He announced that Alison Schmied, pastoral ministries team assistant, will be leaving her position at the end of July to accept a chaplaincy internship in Rochester, NY. The Board affirmed appreciation for her contributions to Belmont.
FINANCE COMMITTEE: John Pearce, chair, presented the agreement with SunTrust Bank and stated that the church was pleased with the arrangement.

The plan is to reduce the debt by $500,000 this year. SunTrust is requiring Debt Covenants and quarterly reporting from the church. The congregation can assist in reducing the debt by paying Legacy Campaign pledges and pledging and paying on the Capital Campaign.
Through June 30, operating budget income from pledges and loose offerings is increased in amount over the last two years and a strong finish to 2009 will be needed to meet all obligations.
2009 CONGREGATIONAL CAPITAL CAMPAIGN: Kim Hawkins reported for Jim Bradford, chair, that $719,146 has been received in pledges toward the $1,000,000 goal. A celebration of the close of the Legacy Campaign will be held August 9 with a prayer service and giving of thanks.
MINISTRY MOMENT: Gary Hawkins, representing the Green Team, stated that a Phase I Assessment concentrated on utilities, windows/doors, insulation and recycling. The focus then was on electricity use since it represents 55% of the utility expense with the best target for savings being lighting and HVAC. Recommended are: turning off lights when not in use; use of natural sunlight; programmable thermostats in older buildings (which could save $3,000-$10,000 a year); install occupancy light sensors in all classes; replace light bulbs with energy saving bulbs. The Team will continue with assessments and recommendations.
Since there was no new business, the meeting was adjourned.
